Poona Parsee Panchayat AGM

52nd Annual Gen. Meeting & Report of P. P. P. Trust.


Notice is hereby given that the 52nd Annual General Meeting of the Poona Parsee Panchayat Trust will be held on Thu. 31st March 2011 at 3.30 p.m. at Pudumjee Hall, Kadmi Shenshai Anjuman Agiary, Synagogue Street, Camp, Pune 1, to transact following business :

1. To read and confirm the minutes of the 51st A.G.M. held on 28th March 2009 and also to read and confirm the minutes of the Extra-ordinary / Special General Meeting held on 4th June 2010.
2. To adopt / pass the audited accounts for the years ended 31st March 2009 and 31st March 2010. ( Please note that year end 31st Mar. 2009 accounts were already passed in the E. G. M. dated 4th June 2010.)
NOTE : The accounts of 31st Mar. 2009 and 31st Mar. 2010 are of the tenure of the PAST BOARD of Trustees who were in chair till 1st April 2010 ( Please refer Clause 11 of PPP Constitution.) The present board has taken over the functioning of the trust w.e.f. 2nd April 2010 – for a three year term.
3. To appoint new auditors for auditing the accounts of 2010 – 2011 financial year and to fix his remuneration / fees.
4. Any other matter with the permission of the chairman.

a. If the quorum is not formed at 3.30 p.m., the meeting shall be adjourned for 30 minutes and shall commence thereafter ( as per Clause 19 of PPP Scheme.)
b. Any / all ordinary members “in arrears” of their subscription fee are requested to pay their membership subscription fees at the earliest. Please note that as per Cl. 4 of PPP Constitution – ‘in arrears’ members cannot vote in AGM.
c. Only members of PPP Trust are allowed to attend and participate in this AGM. Proxies and non-members are not allowed to attend the meeting.
d. Any member desiring to discuss any matter must send his request / query in writing to the PPP Trust office at least eight days before the meeting and obtain inward register no. for the same. Please note that no matter shall be allowed to be discussed if not received in writing atleast eight days before the meeting.
e. Any matter that is sub-judice / court cases, cannot be discussed in the meeting.
f. The new and present board of trustees are functioning from 2nd April 2010. Required “Change Report” is duly filed u/s 22 of the B.P.T. Act.
g. All members must inform the PPP office by letter / email any change in address, tel. no., email id, death, birth, etc.. at the earliest so as to effectively communicate to all members.
h. Any suggestions, complaints, queries, recommendations, etc… must be made in writing ( with name, sign, contact no., address.) and sent over to the Trust office by post, courier, hand delivery, etc.. or can email it too at : “ppp.1953@yahoo.com”
